Email Tracking

You can send email directly from TestTrack, making it easy to communicate with users and customers without switching to your email application.

Depending on your organization’s use of TestTrack, email sent from TestTrack 2008 and later may be tracked and automatically added to the defect, test case, or test run it is sent from. You can view tracked email on the record Overview or Email tabs.

[edit] Setting email tracking options

Email tracking saves emails sent about defects, test cases, and test runs with the record. Tracked emails can be viewed on the record Overview or Email tab.

When a tracked email is sent, a cookie is added to the header and message body. If a reply is sent, it is imported into TestTrack from the mail server, added to the related record, and forwarded to the user who sent the original email.

  1. Log into the TestTrack Server Admin Utility.
  2. Choose View > Server Options.
  3. Select Tracking from the Email category.
  4. Select Enable email tracking to track emails.
  5. Select Automatically remove emails without tracking cookies from the mail server to delete emails that do not include a TestTrack tracking cookie. You may want to select this option if the email tracking account receives spam or other email you do not want to import into TestTrack.
  6. Enter the POP3 Host IP address or domain name and port number. Optionally enter the Account Name and Password if the POP3 host requires an authenticated login.
  7. Enter the Time to wait for initial connection response. This is the time the TestTrack Server waits for an initial response from the email server. The valid range is 1-32767 seconds.
  8. Enter the Time to wait for other connection responses. This is the time the TestTrack Server waits for connection responses from the email server. The valid range is 1-32767 seconds.

Email tracking is enabled per TestTrack project.

  1. Log into TestTrack.
  2. Choose Tools > Administration > Project Options.
  3. Select the Email category.
  4. Select Enable email tracking for this project. Email is tracked with the defect, test case, or test run it is sent from. Users can view and reply to email directly from a record.

You can view tracked email when you view or edit defects, test cases, or test runs.

  1. Select an email on the Email tab when you are editing or viewing a record.
  2. Click View. The View Email dialog box opens with the Body tab selected. This tab displays the message.
  3. Click the Attachments tab to manage files attached to the email. Attachments can only be included in email replies sent from external email applications.
  4. Click Reply To to email the sender.

You can reply to tracked email from TestTrack. Your reply is saved with the record.

You can also reply to tracked email from external email applications. Tracked email includes a code used to automatically track your reply with the related record. The reply address is automatically set to the email tracking address configured on the TestTrack Server. The reply is sent to TestTrack, added to the related record, and forwarded to the user you are replying to.

  1. Select an email on the Email tab when you are editing or viewing a record.
  2. Click Reply To. The Send Mail dialog box opens.
  3. Make any changes.
  4. Click Send. The email is sent and added to the record.
